Service Coordinator

The Role:

We’re searching for a Service Coordinator who will play a key role in ensuring operations run smoothly and efficiently. You will be responsible for managing and coordinating the delivery of engineering services to customers, ensuring that all service requests are processed efficiently and accurately. This role involves arranging maintenance and service visit with engineers, monitoring upcoming and urgent calls with a heavy focus on proactive planning.

As a result, we’re looking to speak with individuals who possess excellent communication skills, strong problem-solving abilities and excel at multitasking. You’ll be coordinating breakdowns, so a technical/engineering understanding would be beneficial.

Key Responsibilities:

  • Assessing scheduling priorities based on works outlined on internal systems.
  • Liaising with customers to ensure their needs are met, advising on technical matters and ensuring works are carried out efficiently and accurately.
  • Reporting to the Service Manager and work closely with other departments (e.g., Spare parts, hotline and service manager) to ensure service requests are met and that any potential issues are flagged early
  • Gaining an understanding of the products with a basic level of technical expertise to offer quick solutions
  • Maintain accurate records of Customer interactions, service requests, and outcomes. Update and track service schedules and client information in company systems.
  • Coordinate service and maintenance schedules for field engineers taking into consideration the location of other booked jobs and the location/qualifications of attending engineer.
  • Ensuring engineers vehicles are serviced accordingly and scheduled when required.
  • Manage incoming service requests and prioritise urgent calls.
  • General administrative duties where necessary, including tasks such as processing paperwork, preparing reports, and maintaining client files.

The Candidate

We’re searching for a highly organised and confident individual with exceptional communication skills that is looking for a challenging yet rewarding role. You’ll be calm in dealing with high-pressure situations and competent in building relationships with customers, engineers, and various other stakeholders.

Key Skills and Experience:

  • Experience in a service coordination or scheduling role (ideally in a technical or engineering-based environment)
  • Excellent organisational skills with the ability to prioritise multiple tasks
  • Strong communication and interpersonal skills - confident speaking with engineers and customers alike
  • High attention to detail and a proactive approach to problem-solving
  • Adept with utilising Excel as a management resource
  • Technical aptitude or background in engineering/machinery is desirable but not essential
